A shift handover with eight fields and one clear next action

Help the receiving supervisor distinguish checked output, open work and the next confirmation the team needs.

Fictional service preview. Every example value is invented. This is a demonstration of an eight-field adaptation, not a completed client job or measured result.

Reader: Receiving shift supervisor · Workflow: shift handover

One summary your next shift can read

1. Report period and cutoff
Fictional practice shift: March 31, 2026, 06:00–14:00 local practice time. Extract cutoff: 14:00.
2. Source and coverage
Practice shipping extract, version 1. Four selected shipment rows. Complete-day coverage is not confirmed.
3. Checked output
4 unique shipments for 3 distinct orders. Shipping costs: $8 + $5 + $10 + $18 = $41; $41 / 3 = $13.67 per distinct order, rounded to cents.
4. Open work at cutoff
Not confirmed. The practice extract contains shipments; an open-work snapshot was not supplied.
5. Blocker or unanswered question
Does the four-row extract include all shipments for the intended period? No labor hours or service commitments were supplied.
6. Next action
Confirm extract coverage and request the open-work snapshot for the same cutoff.
7. Owner role
Practice report owner. Assignment is illustrative and has not been accepted by a real person.
8. Check-back and acknowledgment
Practice check-back: 14:30 local practice time. Acknowledgment: fictional example only; agree the time and receipt method in live use.

Every field has a definition and a check

FieldDefinitionCheck before use
1. Report period and cutoffThe start and end of the period covered, including time zone and the export cutoff.Confirm the source uses the same period and zone. State any partial-day cutoff.
2. Source and coverageThe report or extract name and the population it contains. State whether it is complete.Ask the source owner whether all intended rows are included. An extract by itself is not proof of complete coverage.
3. Checked outputA count or amount with its unit and denominator. Keep shipment counts separate from distinct order counts.Check unique shipment IDs and distinct order IDs. Do not add a split order twice.
4. Open work at cutoffThe remaining work from a snapshot at the named cutoff, with unit and exclusions.Use an actual open-work snapshot. Do not derive zero backlog from a shipped-only extract.
5. Blocker or unanswered questionThe observed obstacle or specific missing fact. Separate observation from an assumed cause.Keep a cause as unconfirmed until supporting evidence is available.
6. Next actionOne observable next step that reduces a stated gap or completes defined work.Make the action specific enough that the next shift can tell whether it was completed.
7. Owner roleThe role responsible for the next action; use a role title instead of personal information.Confirm that the receiving role accepts responsibility; a filled field is not an acknowledgment.
8. Check-back and acknowledgmentWhen the owner and receiving shift will check the action, including time zone, and how receipt is confirmed.Agree a real time with the responsible role. Keep an unagreed time as Not confirmed.

How to use the editable files

  1. Start with the blank template and replace the field labels only after agreeing the definitions with the report owner.
  2. Enter checked values. Keep an unknown value as “Not confirmed”; never replace a missing value with zero.
  3. Check the period, cutoff, units, exclusions and source before sharing.
  4. Assign the next action to a role and a specific check-back time; confirm the receiving role understands it.

Follow your organization’s established safety, incident, data and AI policies. This summary does not replace them.
